The pipeline is the heart of your CRM. It gives you a real-time picture of your business: how many leads are active, which ones are close to closing, and where the bottlenecks are. But only if your stages are clearly defined and consistently used.

Stage 1: New Lead
A new lead is any inquiry that's come in but hasn't yet been contacted. This is your hot zone speed matters here. Any lead that sits in New Lead for more than an hour without contact is losing value fast. Automation that moves leads out of this stage quickly is one of the most impactful things you can set up.
Stage 2: Contacted / Qualified
Once you've made contact and confirmed the lead is worth pursuing, move them to Contacted. This stage is where qualification happens: job type confirmed, timeline established, decision-maker identified. Leads that don't meet your criteria should be moved to a nurture stage, not deleted.
Stage 3: Estimate Scheduled

After the estimate, a quote has been sent. This is the highest-stakes stage leads can go quiet here faster than anywhere else. Every lead in this stage needs active follow-up. Set a rule: no quote stays in this stage for more than 5 days without a follow-up touchpoint.
Stage 5: Won / Closed
Job is sold. Move it to Won and trigger your onboarding or scheduling workflow. Don't forget to also track a Lost stage understanding why jobs are lost (price, timeline, went with competitor) is as valuable as knowing why they're won.
